How to evaluate data use when working with Brain and other AI features.

Content updated: October 1, 2026

Content Used by AI Features

An AI request may include your prompt, attachments, conversation context and workspace content retrieved for the feature you use. Meeting features may process audio or transcripts when enabled. Different features can use different providers.

Share only the information needed for the task. Review permissions and connected sources before asking AI to work with workspace content.

Provider Processing

Google Gemini is Edworking's primary AI provider. The application also integrates OpenAI and Weaviate for AI and search. Depending on the feature, processing can include prompts, retrieved workspace content, attachments, audio, indexes and generated outputs.

Google's Gemini API terms distinguish paid and unpaid services and include feature-specific conditions. Under the paid-service terms, prompts and responses are not used to improve Google's products, but operational and abuse-monitoring retention may still apply. Optional data sharing has separate implications. Edworking's production billing and data sharing settings still require verification, so this page does not claim that all AI processing has no training use or zero retention.

Review Outputs and Actions

  • Check generated content for mistakes before sharing or acting on it.
  • Confirm the scope of any action that changes workspace content or communicates with others.
  • Avoid submitting secrets or unnecessary personal information.
  • Make sure participants understand how recording and transcription will be used.

Retention and Data Requests

Deleting a conversation, removing a source and deleting an account are different actions. Ask which stored content, search indexes, logs and provider records are covered by a deletion request.
